At Alghanim Industries, we are seeking an experienced Administrative Operations Coordinator to provide administrative support to our management team and contribute to the smooth operation of our division. The successful candidate will have excellent communication skills in English, a solid knowledge of Kuwait, and at least 1-2 years' work experience in a similar administrative role.
Key Responsibilities- Communication and Correspondence: Type all correspondence, including letters, memos, schedules, and agendas, while handling independent business correspondence for the division (incoming and outgoing). Direct incoming telephone calls to the appropriate recipient.
- Data Management and Organization: Manage, organize, and update relevant data, maintain a proper filing system, and coordinate tasks across various locations in Kuwait.
- Travel and Event Planning: Organize travel and hotel reservations for business trips from and visitors to the division, as well as visa processing.
- Employee Support: Prepare employees' change of status forms and recruitment requests, and coordinate with the personnel office, especially in residence-related matters.
- Excellent Communication Skills: Fluency in English is essential.
- Planning and Organizational Skills: Ability to plan and organize tasks effectively, working independently and against tight deadlines.
- Computer Knowledge: Proficiency in Microsoft Office applications (Outlook, Word, Excel, PowerPoint) and the internet.
- Self-Motivation and Initiative: Must be self-motivating, driven, and able to multitask, handle demanding customers, and liaise with different individuals across departments and functions.
