Patient Services Representative

This role involves providing support to the ASG-KU Army Health Clinic in Kuwait. Under the supervision of the Patient Administration Supervisor, the Medical Support Coordinator will handle various responsibilities, including patient registration, administrative tasks, filing, and customer service.

Main Objectives
  • To register eligible patients by collecting demographic information and entering it into the clinic's database.
  • To schedule appointments with healthcare providers, often requiring coordination with medical professionals.
  • To maintain accurate and confidential military personnel medical/dental records according to regulatory guidelines.
  • To support new staff members in learning procedures and protocols.
  • To liaise with designated USG representatives and contractor teams to ensure operational efficiency and adherence to regulations.
  • To provide daily pre-departure briefings to patients about local customs and etiquette.
  • To promote excellent customer service across all USAHC patients.
  • To collaborate closely with clinic staff and supervisors.
  • To be flexible in work schedule, overtime, and assignments, including evenings, weekends, and holidays. Vacation scheduling may align with mission requirements and potentially differ from spouse schedules if applicable.
  • To complete additional tasks as directed by Health Services Management.
Necessary Skills and Qualifications
  • Education/Certifications: A minimum of a High School Diploma or equivalent is required. Relevant coursework in medical administration or healthcare management is advantageous. Experience can substitute for educational requirements.
    • Within 30 days after hire, AHIP certification from an online source is mandatory.
    • Valid driver's license and ability to obtain Kuwait and U.S. Government Motor Vehicle Operator's Licenses are needed.
    • Maintain NAC-I clearance.
    • Maintain USG Network access and Smart card privileges.
  • Experience:
    • Training or relevant work in medical reception, administrative roles, or other medical fields for two years is necessary.
    • At least two years of medical work experience are required.
    • Two years of progressive experience demonstrating problem-solving capabilities and adaptability in medical environments is ideal.
    • Minimum two years of customer service experience.
    • Familiarity with the Privacy Act of 1974 and HIPAA is necessary.
  • Skills:
    • Effective communication and interpersonal skills for collaboration with diverse stakeholders.
    • Independence and ability to manage multiple tasks.
    • Basic organizational and analytical skills for efficient workflow.
    • Excellent written and verbal communication skills in English.
    • Data analysis and interpretation skills.
    • Proficiency in MS Office applications like Word, Excel, and PowerPoint.
    • Discretion and confidentiality in handling sensitive company information.
  • Working Conditions:
    • Ability to work in extreme temperatures exceeding 120°F.
    • Varying indoor and outdoor environments with extreme conditions.
    • Industrial production setting involvement.
  • Physical Requirements:
    • Light work involving occasional exertion of 20 pounds, frequent exertion of 10 pounds, and constant exertion of 10 pounds.
    • Work may involve heavy lifting, bending, climbing, prolonged standing, and exposure to hazardous substances.
    • Personal Protective Equipment (PPE) usage required for certain situations.
    • Compliance with fire and safety regulations and post policies.
