Healthcare Operations Coordinator

This role is located in Kuwait, supporting LOGCAP efforts. Under the supervision of a Patient Administration Supervisor, you will work with the ASG-KU Army Health Clinic to provide patient registration services, office administration support, filing assistance, and medical customer service.

Key Responsibilities
  • You will register eligible patients by collecting and verifying demographic information through interaction with patients and entering this data into the clinic's database. You will also instruct and assist patients in completing necessary documents and sign-in logs.
  • Scheduling appointments with USAHC providers will be your responsibility; often requiring coordination directly with physicians, dentists, nurses, physician assistants (PA), medics, and other medical personnel.
  • Initiating and maintaining military personnel medical/dental records in accordance with Army Regulation 40-66, the Privacy Act of 1974, and HIPAA will be essential.
  • You will assist in training new personnel on these procedures.
  • Interfaces with designated USG representatives and other contractor elements to ensure smooth operations and compliance with USG directives, standards, and safety requirements will be crucial.
  • Provides daily pre-departure briefings to patients on local nuances and customs as well as acceptable manner of conduct or deportment in the local environment.
  • You will optimize the customer service experience for all USAHC patients.
  • Closely coordinates with clinic staff and Patient Administration Supervisor.
  • A willingness to work on holidays, short notices, all shifts, overtime, and assigned to any Medical location in Kuwait is required. Vacation scheduling may be dictated by mission requirements and determined independently from spouse if applicable.
  • Performs other duties as directed by the Health Services Management team.
Required Qualifications
  • Education/Certifications: A High School Diploma or GED is required. Coursework in medical administration, healthcare management is preferred. One year of related experience may be substituted for one year of education.
    • AHIP certification within 30 days after hire from the online source training is mandatory.
    • Employee must have a valid driver's license and the ability to obtain a U.S. Government Motor Vehicle Operator's License and Kuwait Driver's License.
    • Must be able to maintain NAC-I clearance.
    • Must be able to maintain USG Network access & Smart card privilege(s).
  • Experience:
    • Two years of training in medical reception, medical administrative work, or other medical profession are required.
    • Candidate must have at least two years of medical work experience.
    • Progressive experience demonstrating problem-solving skills, analyzing problems, identifying significant factors, gathering pertinent data, and recognizing solutions is essential.
    • At least two years of customer service experience are required.
    • Familiarity with the Privacy Act of 1974 and Health Insurance Portability and Accountability Act (HIPAA) is necessary.
  • Skills:
    • The ability to work effectively with all levels of employees, including top, middle, and supervisory levels of management is crucial.
    • Ability to work independently is required.
    • Basic planning, organizing, and problem-solving skills are necessary.
    • Excellent oral and written communication skills in English are required.
    • Analytical skills, including extracting, compiling, and analyzing data are essential.
    • Knowledge of MS Office software applications such as Word, Excel, and PowerPoint is necessary.
    • Ability to handle company information with confidentiality and discretion is required.
  • Working Conditions:
    • Must be capable of working in extreme weather conditions with temperatures exceeding 120 degrees Fahrenheit.
    • Indoor and/or outdoor environment with very adverse and harsh conditions is expected.
    • Includes some industrial production environment conditions.
  • Physical Requirements:
    • Light work. Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or up to 10 pounds of force constantly to move objects.
    • Work may require heavy lifting, stooping, climbing, prolonged standing, prolonged sitting, and working with or in areas where a potential could exist for exposure to physical, chemical, or biological agents.
    • Use of personal protective equipment (PPE) is required for some situations.
    • Must comply with all Fire and Safety Regulations and post policies.
