Administration Manager

The Administration Department Coordinator is responsible for managing and coordinating all activities related to passports, telephone lines, and air tickets within the Company. This role adheres to Company policies and procedures, Kuwait ministry's regulations, and relevant legal requirements.
Key Responsibilities- Develop and implement policies and procedures for the Administration Department, ensuring they are updated regularly.
- Monitor quota registration processes for new projects and ensure compliance with company policies.
- Track the completion of procedures related to expired contracts and resolve any issues promptly.
- Manage internal and external transfer requests, ensuring timely completion and adherence to company policies.
- Regularly review project quotas to ensure their effective use in line with company policies.
- Coordinate the distribution of national manpower according to required percentages, working closely with the Nationalization Manager.
- Establish a timeline for renewing residencies based on project requirements.
- Ensure that new employees receive their residencies and civil IDs in a timely manner.
- Oversee medical checkups and fingerprint tests for new employees, guaranteeing timely completion.
- Securely maintain employee documents, including passports.
- Review Administration Department reports on the SAP system, ensuring accuracy and completeness.
- Implement efficient transaction processing to avoid penalties and fines.
- Foster strong relationships with government authorities, ministries, and other stakeholders.
- Prepare weekly and monthly reports on Administration Department activities.
- Maintain confidentiality regarding employee personal information and sensitive company matters.
- Collaborate with the Recruitment Section on work permit issuance and cancellation for new candidates.
- Work with the Payroll Section to present monthly salary certificates to MOSAL and ensure timely completion of necessary documentation.
- Manage air ticket bookings, hotel reservations, and visa issuance for employees.
- Oversee air ticket issuance and cancellation, requesting refunds and presenting a monthly report to the DCEO – HR & Admin.
- Ensure that telephone and telecommunication subscriptions align with company policies and procedures.
- Anually assess subscriptions and offers to make informed decisions regarding Internet and communication services.
- Supervise Authorized Signatories, ensuring their adherence to company policies and procedures.
- Adhere to company policies and procedures at all times.
- Perform additional tasks as assigned by the direct supervisor.
- Bachelor's Degree in Business Administration or a relevant field.
- Minimum 10 years of related work experience.
- Bilingual – Arabic and English.
