Job Overview:

HealthCare Dynamics Gen. Trading Company W.L.L is seeking an experienced professional to fill the position of General Services Department Head.

The ideal candidate will have a strong background in facility management, with a proven track record of successfully managing teams and overseeing daily operations.

Key Responsibilities:
  1. Oversee all facility contracts, ensuring timely renewals and maintenance
  2. Supervise purchase requisitions, gate passes, inquiries, and follow up on quotations for various general services works
  3. Coordinate with concerned departments on various requirements, including payments, budgets, HR, and staff issues, contractor details, and maintenance-related issues
  4. Follow up with contractors and monthly service reports
  5. Update records for contractor payments, purchase orders, purchase requisitions, and quotations received
  6. Create and maintain General services department staff documents, evaluations, and other information, and perform executive secretarial duties
  7. Patrol premises at regular intervals to prevent and detect signs of intrusion and ensure security of doors and windows
  8. Conduct routine cleanliness inspections of staircases, both inside and outside the premises, and review services provided by the security and housekeeping staff
  9. Report to Senior Manager about any unusual occurrences and irregularities, such as equipment/property damage, theft, presence of unauthorized persons
  10. Assist Senior Manager and follow up with contractors working within the building for various maintenance work
  11. Prepare material requisitions and other maintenance-related documentation, informing Senior Manager of shortages in spare part inventories
  12. Negotiate prices for maintenance and repair works
  13. Attend and participate in meetings and task force groups to integrate activities, communicate issues, obtain approval, resolve problems, and maintain a specific level of knowledge pertaining to new developments, requirements, and policies
  14. Perform and assist with any departmental operations as required or directed to maintain workflow or respond to emergency conditions
  15. Responsible for maintaining the site in a high standard state of repair and appearance, including all buildings and facilities, roads and pathways, grounds, and gardens
  16. Source contractors for building refurbishments, services, and ensure work is completed to standard and within budget
  17. Ensure that all systems are regularly maintained and assessed, appropriate records kept, and all related policies and procedures reviewed and updated as necessary
  18. Ensure the team provides timely furniture moving service, ensures supplies are in place, and institute activities can proceed as expected
  19. Develops and maintains a relationship with all contractors and vendors, ensuring efficient facility operations
  20. Oversees and provides event coordination, ensuring proper scheduling of set up and take down of meetings, events, and prayers
  21. Coordinate with all departments and implement procedures for handling, storing, safekeeping, and destruction of hazardous materials
  22. Regularly review and update department policy and procedure manuals, incorporating input from vendors/contractors and staff
  23. Submit plans of proper office allocation to Senior Manager as part of the office optimum space planning process
  24. Recommend to Senior Manager on the procurement, movement, and stock of furniture within the building
  25. Any other duties assigned by the Senior Manager
