Under general supervision, deliver a high standard of customer service for all patients. Responsible for organizing patient appointments, liaising with members of the hospital's multi-disciplinary team and providing important information service for patients. Notice Period: Immediate Director/Manager: Customer Service Report To: Customer Service Supervisor Department: Administration Job Responsibilities: Listen well to the patient to ensure that their needs are understood. Follow patient identification processes through Civil ID and insurance card (copy to be kept in patient's file). Request required documents (marriage certificate, nationality ID for Kuwaiti patients or passport copy – CID for non-Kuwaiti patients) for delivery & D & C cases, and gynecology cases. Update patient data before admission, including Civil ID and contact number. Complete billing process for cash patients; after billing, the patient should sign any document related to their insurance company and receive a copy of the invoice. Check approval conditions before admission, explain package and approval details, and inform about any rejected codes or items, including accommodation stay in packages for insurance packages. Collect down payment for rejected codes, prostheses, or items before admission. Request patients to sign all admission documents related to their insurance company (except in emergency cases) and provide a copy of the invoice for cash and insurance patients. Do not take any money outside the hospital, including cashier or petty cash. Do not take any documents from the hospital to home, including insurance papers. Inform the direct Supervisor by phone immediately about any unpaid service and follow up with an email detailing the situation, copying the Customer Service Manager. Forward all emails based on department structure, escalating to the manager if unsatisfied with the result. Handle blacklisted patients with the customer service supervisor or manager based on the reason. Ensure patient confidentiality at all times; sensitive conversations should not take place in common areas. Keep the admission office clean and tidy at all times; food should not be consumed in the admission office area. Wear the uniform provided by the hospital throughout the workday. Submit all insurance claims on a daily basis. Job Requirements: Education and Experience High university degree or suitable equivalent. Two years' work experience in a similar position in a hospital. Language/Literacy High proficiency in Arabic and English. Computer skills. Skills Needed Proficient knowledge of customer service and standard office practices. Proficient computer skills. Proficient in standard office equipment. Outstanding communication skills, both written and verbal. Proficient in preparing future plans. Excellent phone etiquette. Available to work shifts.
