Under the leadership and direction of the Director of Admissions, this position will handle all external student recruitment, prospect marketing initiatives for the Office of Admissions, and is responsible for admitting students into the appropriate level at AUK to ensure that the University's admission targets are achieved while meeting all AUK as well as Private Universities Council requirements. Essential Duties and Responsibilities: Coordinates schedules and daily operations with the Director of Admissions. Greets walk-ins, answers in-person, telephone, e-mail, and inquiries forms as needed and imparts admissions related information in a clear and accurate manner. Develops relationships with prospective students and their parents as well as high school counselors and officials. Builds relationships with prospective students through various channels, encouraging them to apply. Coordinates secondary school recruitment and visitation plans with all schools in the assigned territory. Conducts interviews with prospective students to assess their suitability and compatibility with AUK. Develops comprehensive communication techniques to maintain ongoing and meaningful communication with prospects, including data mining through Banner query. Develops comprehensive communication techniques to maintain ongoing and meaningful communication with high school professionals, including data mining and mail merge through the high school database. Manages prospective student data collection and entry into Banner and any related recruitment technologies. Manages applicant data collection and entry into Banner. Responsible for identifying the correct admission categories for all applicants, ensuring that all students satisfy the University's admission criteria as well as the requirements specified by the Private Universities Council, and Ministry of Higher Education. Generates all admission letters and communication pieces through the communication flow in Banner. Develops and runs queries to ensure quality control functions. Ensures all required materials required to complete the admissions file have been received. Initiates the Transfer Credit Evaluation process for all transfer applicants. Generates and prepares reports to support quality control functions. Responsible for making all admission decisions in Banner and ensuring that these decisions are consistent with AUK admission standards for the various student categories and that they meet all Private Universities Council requirements. Synchronizes the applicant files with the Banner record prior to transfer of the student data to the Office of the Registrar. Audits all admitted and registered students' files before transferring them to the Office of the Registrar. Responsible for training Office of Admissions staff, ensuring cross-training and teamwork of departmental staff. Upholds AUK's values and mission throughout the admissions process. Collaborates closely and regularly with members of the Office of the Registrar and other departments. Additional duties may be assigned by the Director of Admissions/Assistant Director as follows: Development of all admissions recruitment materials. Recruiting of Government Scholarship applicants. Responsibility for managing the Admissions Events and Exhibitions during and after working hours, occasionally on weekends. Responsibility for managing the Academic Scholarship. Manages all Office of Admissions responsibilities for the Placement, Advising, and Registration (SAR) process. Management of the Government Scholarship Program through the Council of Private Universities, Ministry of Higher Education. Management of Transfer Credit Evaluations for students transferring from institutions not accredited by the Ministry of Higher Education. Accurate Banner and Self-service data input. Assistance with ADM quick flow data input into Banner. Additional responsibilities as assigned by the Director of Admissions. Qualifications Education: Years of Experience: Demonstrated experience with MS Office software required. Understanding of integrated information systems, accessing data through query and running quality control reports to ensure data integrity. Experience in college/university admissions or recruitment is preferred. Demonstrated proficiency with oral presentations and written communication. Experience working effectively as a team member with and for multicultural/multilingual populations. Skills/Abilities: Excellent spoken and written English. Excellent spoken and written Arabic. Ability to help individuals identify, analyze, and explore personal needs, values, problems, and goals; supporting them in implementing actions. Ability to present information interactively to a group and/or facilitate interactions within a group. Ability to work in a methodical and logical manner to manage priorities, deadlines, and workload to complete tasks and projects in a timely manner. Ability to present information and represent AUK in a manner such that the intended purpose is achieved. Ability to sort and retrieve data. Ability to establish, strengthen, and maintain credibility, trust, and confidence with individuals and groups, both internal and external. Ability to adjust one's own behavior in order to be effective within and among groups and with individuals. Ability to deal with walk-in and telephone enquiries throughout the workday. Ability to work some flexible hours, including occasional evening and weekend work. Ability to travel and drive on behalf of AUK (valid driver's license and access to a vehicle required). Ability to work well with students as well as prospective students, their parents, University faculty, and administration. Working Conditions: Duties are performed within an office environment. Continuous working on desktops and laptops will be required. Occasionally required to work during evenings or weekends and allows for flexible scheduling to deal with interruptions throughout the workday.
