At Hyatt Hotels our Engineering Administrative position plays a viral role in delivering the exceptional service our guest expect.

Position Overview:

The Engineering Administrative Assistant is responsible for providing administrative support to the Engineering Department to ensure the smooth operation of maintenance and facility functions throughout the hotel. This role will manage all departmental invoices, supply ordering, record-keeping, scheduling of vendor services, and compliance documentation. The ideal candidate will possess strong organizational and communication skills and be comfortable working in a fast-paced hospitality environment.

Essential Duties and Responsibilities:


• Receive, review, and process invoices and purchase orders for the Engineering Department.


• Order and maintain stock of tools, equipment, and supplies; track delivery and inventory levels.


• Maintain accurate and organized records of maintenance logs, safety inspections, vendor contracts, service records and building permits.


• Schedule and confirm vendor appointments and maintenance services.


• Track preventive maintenance schedules and assist with compliance reporting.


• Support communication between Engineering, other hotel departments, and external vendors.


• Assist with special projects and reporting for the Director of Engineering.


• File and maintain OSHA, EPA, and city/county compliance documents as required.


• Perform general administrative duties including data entry, document preparation, photocopying, and filing.


• Maintain confidentiality and demonstrate a high level of professionalism at all times


• Comply with attendance rules and company policies.


• Perform any other job-related duties as assigned.

Qualifications:


• High school diploma or equivalent required; Associate's degree in business administration preferred.


• Minimum of 2 years of administrative or office support experience; experience in a hotel, facilities, or engineering setting strongly preferred.


• Familiarity with invoice processing and procurement platforms


• Proficient in Microsoft Office (Excel, Word, Outlook), Hyatt Private Management Systems


• Strong organizational and time management skills.


• Excellent written and verbal communication skills.


• Ability to prioritize, meet deadlines, and work independently.


• Must be able to maintain composure and efficiency in a fast-paced environment.

Physical Requirements:


• Ability to sit or stand for extended periods.


• Occasional lifting of supplies or materials (up to 25 lbs).


• Frequent use of computer and standard office equipment.

Working Conditions:


• Regular work hours are Monday–Friday; occasional weekends or holidays may be required depending on departmental needs.
