Job Summary

We are seeking a highly organized and detail-oriented Administrative Assistant to support our growing team in Kuwait. The ideal candidate will have excellent communication skills, be proficient in Microsoft Office, and have experience in office administration.

Key Responsibilities

• Handle incoming and outgoing correspondence, including emails, letters, and phone calls.
• Draft office correspondences as directed by manager, prepare reports, and presentations distribute incoming/outgoing mail correspondences routes to appropriate departments.
• Monitor and renew visas, gate passes, and related documents and assist in day-to-day office administration tasks.
• Prepare quotations, submit to clients, and follow up for the status of quotations.
• Prepare daily reports for the status of RFQ's and quotations submitted to clients.
• Coordinate with fleet department for the arrangement and delivery of equipment to clients.
• Prepare and submit all required documents to obtain equipment and operator gate pass to enter into KNPC refinery or KOC premises and continuously follow up with clients for gate pass.
• Prepare detailed lists with reports for the receipt of Purchase orders from clients and update regularly with current status.
• Maintain detailed lists of equipment and manpower with all track records of Civil ID, Gate passes, driving license, equipment registration book, third-party approval, and validation.
• Regularly monitor, follow up, and update for the renewal of Civil ID, driving license, employee, vehicle gate pass, and third-party renewal.
• Follow up with Equipment Supervisor, Operator for monthly and daily time sheets with client approval for invoice preparation.
• Coordinate with Accountant to prepare invoices as per approved time sheets and Purchase orders.
• Prepare invoice logs with regular updates and highlights for outstanding invoices.
• Maintain efficient office procedures and systems for keeping track of requested actions, reports, databases, and process requests of staff for leave, holidays, and others as necessary.
• Establishes, implements, and maintains filing systems for reports, policies, procedures, and all correspondence internally and externally from and within the office.
• Assist in the preparation of regularly scheduled reports.
• Handle payroll and salaries.
• Handle confidential information with discretion and professionalism.
• Coordinate with Yard Supervisor for all equipment status with regular follow-ups and provide support to other administrative staff and assist finance department as needed.

Required Skills & Qualifications

• Deep experience in office administration and proficiency in MS Office (MS Excel, MS Word, and MS PowerPoint) and Google Workspace.
• Ability to work independently as well as part of a team.
• Excellent customer service and strong written and verbal communication skills.
• High level of attention to detail and problem-solving skills.
• Ability to multitask and prioritize tasks effectively.
• Excellent organizational and time-management skills.

Employment Details

• Full-time employment.
• Valid Kuwait driving license is mandatory.
• Visa # 18 Transferable.
• Fluent in English and Hindi language.
