We are seeking a dynamic and results-driven Admin & Account Assistant to support our growing heavy equipment rental business.

Key Responsibilities

Handle incoming and outgoing correspondence, including emails, letters, and phone calls.

Draft office correspondences as directed by manager, prepare reports, and presentations distribute incoming/outgoing mail correspondences routes to appropriate departments.

Monitoring and renewal of visas, gate passes and related documents and assisting in day-to-day office administration tasks.

Preparation of quotation, submission to the client and follow up for the status of quotation.

Prepare daily reports for the status of RFQ's and quotations submitted to Clients.

Coordinate with Fleet department for the arrangement and delivery of equipment's to the client.

Preparation and submission of all required documents to obtain equipment and operator gate pass to enter in to the KNPC refinery or KOC premises and continuous follow with client for gate pass.

Prepare detail list with reports for the receipt of Purchase order from Client and update on regular basis with current status.

Maintain detail list of equipment and manpower with all track records of Civil ID, Gate passes, driving license, equipment registration book, Third party approval and validation.

Regular monitoring, follow up and update for the renewal of Civil ID, Driving License, employee, vehicle gate pass and Third-Party renewal.

Follow up with Equipment Supervisor, operator for monthly and daily time sheet with Client approval for invoice preparation.

Coordinate with Accountant to prepare invoice as per approved time sheet and Purchase order.

Preparation of invoice log with regular update and highlight for the outstanding invoices.

Maintain efficient office procedures and a system for keeping track of requested actions, reports, databases and process requests of staff for leave, holidays and others as necessary.

Establishes, implements and maintains a filing system for reports, policies & procedures and all correspondence internally and externally from and within the office.

Assist in the preparation of regularly scheduled reports.

Handle Payroll and Salaries.

Handle confidential information with discretion and professionalism.

Coordinate with Yard Supervisor for all equipment status with regular follow up and provide support other administrative staff and assist finance department as needed.

Required Skills & Strength

Deep experience in office administration and proficiency in MS Office (MS Excel, MS Word, and MS PowerPoint) and Google Workspace.

Ability to work independently as well as part of a team

Excellent Customer service and Strong written and verbal communication skills

High level of attention to detail and problem-solving skills

Ability to multitask and prioritize tasks effectively

Excellent organizational and time-management skills.
  • Valid Kuwait driving license is mandatory.
  • Visa # 18 Transferable
  • Fluent in English & Hindi Language
