We are hiring a Business Services Team Manager to oversee travel, logistics, events, scheduling, expense policies, and administration.
This executive role demands exceptional coordination, planning, decision-making, budgeting, procurement, reporting, and management skills. It involves managing a fast-paced, complex operation in the tech industry.
The team coordinates large-scale company events involving travel for hundreds of people from over 80 countries. These events occur quarterly and are crucial for shaping company culture, teamwork, strategic planning, and execution. Responsibilities include travel procurement, logistics, visa management, handling travel complications, and ensuring safety and efficiency.
The team also acts as an independent check on expense claims, ensuring fairness, transparency, and accountability across all levels and regions. This requires integrity, the ability to defend policies politely, and high work ethic.
These responsibilities involve managing tens of millions in operational costs and making numerous tactical and operational decisions.
Additionally, the team provides traditional 'EA'-like services for company leaders, such as scheduling meetings, coordinating reports, handling delegated approvals, collaborating across departments, managing supplier relationships, and leading small projects.
Location: Remote worldwide, except where office facilities are available, such as London, Taipei, and Beijing.
Leadership and accountability
This team impacts every department at Canonical. Team members must possess excellent judgment, interpersonal skills, confidence in accountability, policy defense, and a strong work ethic to handle large workloads efficiently. Participation in company events from planning to safety reviews is essential to build relationships and ensure smooth operations.
As a manager, your team would be responsible for:
- Travel approvals, logistics, and operations
- Expense review in line with policies
- Planning quarterly company events
- Managing office facilities for executive briefings and operations
- Implementing health and safety programs with comprehensive policies
What we are looking for
- Exceptional academic record from high school and university
- Undergraduate degree in a technical or business field
- Proven drive and a history of exceeding expectations
- Leadership and management skills
- Good judgment in financial, policy, and interpersonal matters
- Ability to work in a multicultural, global organization
- Excellent interpersonal skills, curiosity, flexibility
- Responsibility, accountability, self-awareness
- Result-oriented with a strong personal drive
- Willingness to travel up to four times a year, with events lasting up to two weeks
