About the RoleWe are seeking a highly skilled and detail-oriented Operations Support Specialist to join our team. In this critical role, you will provide administrative support to the Operations Manager and contribute to ensuring timely data reporting and compliance with contractual requirements.
Key Responsibilities- Administrative Support: Assist the Sr. Director and Operations Manager in meeting CDRL reporting requirements within established timelines.
- Data Analysis: Collect and analyze data to inform decision-making processes, generating operational reports, tracking KPIs, and presenting data insights.
- Project Coordination: Assist in planning and executing projects, ensuring milestones are met on time and within scope, coordinating with department managers, and tracking project documentation.
- Communication: Facilitate effective communication and collaboration between departments and the Sr. Director, ensuring everyone is aligned with Directorate goals.
- Logistics Management: Manage logistics related to generating and tracking PRs, distributing resources, and liaising with buyers for timely delivery of materials.
- Risk Management: Ensure operations comply with relevant regulations and standards, managing risks associated with operational activities.
- Reporting: Collect reports from functional departments, prepare slides for review and approval of the Sr. Director, and track current TDP requirements.
- Education: Bachelor's Degree preferred and/or related experience in Community Services Operations.
- Experience: Minimum 7 years' experience in Administrative roles (Medical Administration, MWR, Postal, Hotel or Billeting Operations).
- Skills: Excellent oral and written skills, knowledge of business and management principles, ability to read, write, and speak English with proficiency, and capability to type a minimum of 40 words per minute with high accuracy.
Duties involve working outdoors with potential exposure to extreme climatic conditions, including frequent dust storms and high temperatures.
Employee use of Personal Protective Equipment (PPE) is required in certain areas.
